Business challenge

Goods receipt in SAP GUI meant many fields, many tabs and a printed delivery note covered in handwriting. Certificates of conformance and analysis arrived with the goods and ended up in a cabinet or a shared folder, disconnected from the material document they belonged to.

Solution

The receiver scans or selects the purchase order, sees the open lines, confirms quantities, batches and storage location, and receives. The COC and COA are photographed or uploaded on the same screen and stored in SAP against the material document, the batch and the purchase order. A missing certificate blocks the receipt or opens a follow-up, according to the material's rules. Quality sees the documents the moment the goods are in stock.

Architecture

  1. Purchase orderScanned at the dock
  2. ReceiptQuantities, batches, storage location
  3. COC / COAUploaded on the same screen
  4. SAPMaterial document with documents attached
  5. QualityDocuments ready at inspection

Results

  • Receiving is one screen instead of tabs and paper
  • Every batch carries its certificates from the first minute
  • Missing documents are caught at the dock, not at the audit
  • Receipt-to-inspection handover happens without a phone call
